Essential Business Tools

Microsoft OneDrive for Business
OneDrive for Business allows you to download a client’s C-File from VBMS and securely access it from your desktop. This functionality requires a business account—personal accounts will not work.

DocuSign
DocuSign is the easiest way to obtain client signatures on VA Form 21-22a and fee agreements remotely. Even the most tech-averse clients can use it without difficulty.

QuickBooks
I use the QuickBooks Simple Start plan to invoice clients and provide my bookkeeper with remote access for expense tracking and reconciliation. Clients can also pay invoices easily using credit cards.

Calendly
Calendly allows clients to schedule calls directly on my calendar and enables prospective clients to book an introductory call to determine if we’re a good fit to work together.

Adobe
While not my favorite platform, Adobe is a necessary tool for quickly viewing, signing, and managing PDF documents.

Google Voice Number
I started with a free Google Voice number and continue to use it today—even after moving to a dedicated business phone. It’s a reliable and professional solution when launching a practice.

Tools Specific to VA Claims Work

NOVA Membership (National Organization of Veterans’ Advocates)
The peer groups alone make this membership worthwhile. NOVA is an excellent resource for learning case strategies, discussing complex issues, and asking questions from experienced colleagues.

Stars and Stripes Archives
An incredibly valuable research tool for locating evidence to support PTSD stressor claims, aircraft or equipment issues, unit activity, and other historical documentation. Subscriptions are available annually or via daily pass.

Medical Article Database
A free database of medical articles curated by a fellow veteran advocate. These articles are frequently used to support nexus opinions and strengthen client claims.

CAPRI / JLV Access
Once you obtain VBMS access, the next step is requesting CAPRI/JLV access. This allows you to view VA medical records that may not have made it into a client’s claims file—especially helpful when veterans have received care at multiple VA locations. Required documents to begin this process are typically included in your accreditation communications.

Veterans Benefits Manual
The digital version is highly recommended. While the printed edition is comprehensive, the searchable electronic format makes it far easier to quickly locate statutes, regulations, and case law relevant to your work.
